Owl Reiki is the independent Reiki practice of Caroline Tovell, based in Enfield Town, London, offering in-person and distance Reiki for people and animals. I am the data controller responsible for the personal details you share with me, and the person to contact about anything in this policy.

If you have any question about how your information is handled, please write to me through the contact form on this website.

When you use the contact form I collect your name and your email address, together with anything you choose to write in the subject and message fields.

If you go on to become a client, I also keep brief, confidential consultation notes relating to your wellbeing and your sessions, so that I can look after you properly from one session to the next.

I rely on your consent to handle the details you give me through the contact form. You give this consent by ticking the box on the form before sending your message, and you can withdraw it at any time.

If you go on to arrange and receive sessions, I process your details on the basis of the contract between us — to arrange appointments, keep in touch, and provide the session itself.

Where I record information about your health or wellbeing in consultation notes, I rely on your consent to process that information and your explicit consent where it constitutes special-category health data. I also retain appropriate client records in accordance with my professional and insurance requirements.

Any information you share about your health, wellbeing or circumstances during a session is special-category personal data. Because Reiki is a complementary practice rather than medical treatment, I rely on your explicit consent to record and keep these notes.

You do not need to provide a full medical history. Before your first session, I may ask about health or wellbeing information relevant to providing Reiki. You can choose what you wish to share. Where I ask to record health or wellbeing information, I will explain why and ask for your explicit consent. Basic administrative and session records may still be retained where necessary for professional, insurance or contractual purposes. These notes are kept confidential and are seen only by me.

Messages sent through the contact form are delivered to a private email inbox used only by me. Session notes are kept securely and are seen only by me.

I use a small number of service providers to run this website and deliver messages. The website is hosted by Lovable (whose platform runs on Cloudflare infrastructure), and contact-form messages are sent and received through Google (Gmail). These providers act as processors on my behalf and handle your details only as needed to deliver the service.

I never sell, rent or trade your information. Nothing is shared with a third party unless you ask me to, or unless I am required to by law.

Some of my service providers may process personal information outside the United Kingdom. Where this involves a restricted international transfer, I rely on the safeguards provided by the relevant service provider in accordance with UK data protection law.

Enquiries that do not lead to a session are deleted within twelve months. Client records are normally kept securely for 7 years after the last session, in line with professional practice and insurance requirements, before being securely deleted.

Under data protection law you have the right to ask me for a copy of the information I hold about you, to ask me to correct anything that is inaccurate, and to ask me to erase your details or restrict how I use them, where this is legally possible.

Where I rely on your consent, you can withdraw that consent at any time.

To use any of these rights, please send a note through the contact form and I will act on it promptly — usually within one month.

Where I rely on your consent — for contact-form enquiries and for any health information in session notes — you can withdraw that consent at any time. Withdrawing consent does not affect any processing that has already taken place, but I will stop using your details from that point onward and delete them where I am not required to keep them.

This website does not use advertising or tracking cookies, and it does not build a profile of you as you browse.

I hope any concern can be resolved by writing to me directly, but if you are not satisfied with my response you have the right to complain to the Information Commissioner's Office (ICO), the independent authority that upholds data protection in the UK.
